Executive Director
Position Overview:

The Executive Director is the highest leadership role at EATBOX Foundation, overseeing strategic planning, daily operations, financial management, and external relations. This position requires exceptional leadership and cross-functional coordination skills to ensure the mission, values, and long-term goals of the foundation are effectively achieved.

Key Responsibilities

  1. Strategic Planning & Decision-Making

    • Develop and implement medium- to long-term organizational strategies

    • Report operational and financial performance to the Board regularly

  2. Operations & Resource Management

    • Ensure smooth daily operations, including personnel, projects, finances, and resource allocation

    • Develop and monitor the annual budget

  3. External Relations & Representation

    • Represent the organization in government, corporate, and community engagements

    • Build and maintain relationships with partners, donors, and media

  4. Team Leadership & Culture Development

    • Build a high-performing team and foster cross-department collaboration

    • Promote organizational culture and values across the foundation

Requirements

  • Minimum of 8 years in nonprofit or social enterprise leadership roles

  • Strong bilingual communication skills (English & Chinese)

Position Overview:

The Founder’s Assistant will work directly with the Founder of EATBOX Foundation, playing a vital role in daily administration, project management, brand promotion, and cross-functional coordination. This role requires high adaptability, initiative, and discretion, ensuring the Founder operates efficiently in a fast-paced, multi-tasking environment.

Key Responsibilities

  1. Administration & Calendar Management

    • Organize and manage the Founder’s schedule, meetings, and travel plans

    • Maintain and track important documents, contracts, and correspondence

    • Handle daily emails, communications, and external inquiries

  2. Project & Task Coordination

    • Track progress of projects assigned by the Founder, ensuring timely completion

    • Coordinate resources internally and externally to keep projects on track

    • Assist in research, report preparation, and presentation creation

  3. Brand & Event Support

    • Assist in planning and executing brand activities, including fundraising and community events

    • Manage and update social media accounts and the official website

    • Support photography, design, marketing, and partnership negotiations

  4. External Relations & Partnerships

    • Maintain strong communication with partners, donors, and media

    • Arrange and participate in meetings, record minutes, and follow up on action items

  5. Ad-Hoc Support

    • Assist in handling urgent matters and unforeseen situations

    • Represent the Founder in certain events or meetings when needed

Requirements

  • Excellent written and verbal communication skills in both English and Chinese

  • Strong multi-tasking and time management skills

  • Proficient in Microsoft Office / Google Workspace

  • Social media management and basic design skills are a plus

  • Trustworthy with a high level of discretion

Position Overview:

The Operations Manager oversees and optimizes daily operations, ensuring seamless coordination across food rescue, meal preparation, delivery, and volunteer management, while continuously improving efficiency and service quality.

Key Responsibilities

  1. Daily Operations Management

    • Supervise meal preparation, storage, and delivery processes

    • Develop and optimize Standard Operating Procedures (SOPs)

  2. Resource Coordination & Supply Chain Management

    • Manage food and material supply chains, ensuring quality and cost control

    • Coordinate with partners and vendors to resolve operational issues

  3. Data Analysis & Reporting

    • Analyze operational data to propose improvements

    • Submit regular operational reports to the Executive Director

  4. Crisis Management

    • Handle operational emergencies and unforeseen issues

Requirements

  • 5+ years in operations or supply chain management

  • Knowledge of food safety standards and logistics

  • Strong coordination and problem-solving skills

Position Overview:

The Marketing & Communications Manager creates and implements marketing and communication strategies to increase brand awareness, social impact, and community engagement.

Key Responsibilities

  1. Marketing Strategy & Brand Promotion

    • Plan online and offline marketing campaigns

    • Ensure brand consistency and integrity

  2. Media & Public Relations

    • Manage media partnerships and press releases

  3. Digital Platform Management

    • Maintain website and social media content

Position Overview:

The Partnerships & Fundraising Manager develops and maintains strategic partnerships while planning and executing fundraising initiatives to support the foundation’s mission.

    • Expand collaborations with corporations, institutions, and communities

  2. Fundraising Planning & Execution

    • Design online and offline fundraising events

    • Prepare proposals and grant applications

  3. Relationship Management

    • Maintain long-term relationships with donors and partners

Requirements

  • 5+ years in fundraising or business development

  • Strong presentation and negotiation skills

Position Overview:

The Finance & Administration Officer manages financial records, provides administrative support, and ensures compliance with relevant laws and regulations.

Key Responsibilities

  1. Financial Management

    • Prepare and manage budgets and financial reports

    • Handle bookkeeping and tax filings

  2. Administrative Support

    • Manage documents, contracts, and internal communications

  3. Compliance & Audit

    • Ensure legal and financial compliance for the foundation

Requirements

  • 3+ years in finance or administration

  • Knowledge of nonprofit accounting standards

Position Overview:

The Volunteer Coordinator recruits, trains, schedules, and motivates volunteers to effectively support all foundation activities and operations.

Key Responsibilities

  1. Volunteer Recruitment & Training

    • Design recruitment campaigns and expand volunteer sources

    • Organize training programs and manuals

  2. Task Scheduling & Management

    • Coordinate volunteer schedules and assignments

    • Ensure volunteers follow safety and operational guidelines

  3. Volunteer Engagement & Recognition

    • Implement volunteer reward and appreciation programs

    • Gather feedback to improve volunteer experience

Requirements

  • Experience in volunteer management or HR

  • Strong interpersonal and communication skills

Position Overview:

The Chef & Kitchen Manager designs meal menus, manages kitchen operations, and ensures food safety, delivering nutritious and high-quality meals.

Key Responsibilities

  1. Menu & Recipe Development

    • Design menus meeting nutritional and cost requirements

  2. Kitchen Operations Management

    • Ensure kitchen cleanliness and operational standards

  3. Ingredient Procurement & Inventory

    • Collaborate with suppliers to control costs and quality

Requirements

  • 3+ years as head chef or in kitchen management

  • Knowledge of food safety regulations

Position Overview:

The IT & Digital Platform Specialist is responsible for maintaining and optimizing EATBOX Foundation’s website, cloud systems, databases, and digital tools. This role ensures smooth and secure operation of the online donation platform, volunteer management system, and internal collaboration tools. The ideal candidate should have expertise in system integration, troubleshooting, and implementing innovative digital solutions to support the foundation’s operations and growth.

Key Responsibilities

  1. Platform & System Maintenance

    • Maintain and update the official website (EATBOX.org) and donation systems

    • Monitor server, cloud storage, and database security and stability

  2. Digital Tools & Process Optimization

    • Develop and integrate internal systems for volunteer management, food tracking, and reporting

    • Evaluate and implement suitable SaaS tools to improve efficiency

  3. Information Security & Data Protection

    • Develop and execute data backup and cybersecurity strategies

    • Ensure compliance with privacy and security standards (e.g., GDPR, CCPA)

  4. Technical Support

    • Provide IT support and training to the team

    • Troubleshoot software and hardware issues on a daily basis

Requirements

  • Minimum 3 years of experience in website and IT system administration

  • Proficient in WordPress, cloud platforms (AWS, Google Cloud), and API integration

  • Basic knowledge of front-end development (HTML/CSS/JavaScript) and database management

  • Strong understanding of cybersecurity and data protection principles

  • Good bilingual communication skills (English & Chinese)
